Claude API Invoice Generation for Clients: A How-To

2026-10-08 · 5 min read · SubToAPI Team

If you bill clients for hourly work, retainers, or project milestones, you already know the painful part isn't the math — it's writing clear, professional line-item descriptions that justify every charge without sounding robotic or vague. The Claude API can take raw inputs like time entries, task lists, or git commit messages and turn them into client-ready invoice text: itemized descriptions, grouped summaries, and consistent formatting, every time.

This isn't about Claude calculating totals or generating PDFs — it doesn't do math reliably enough for billing, and it doesn't render documents. What it's genuinely good at is the language layer: converting messy internal notes ("fixed login bug, 2.5h, also did some css stuff") into something a client would actually want to read ("Resolved authentication session bug and refined dashboard styling — 2.5 hrs"). You handle the totals, tax rules, and PDF rendering with your existing invoicing tool or a library like PDFKit; Claude handles the writing.

Why automate this part specifically

Agencies and freelancers lose real time on two things: chasing down what was actually done in a billing period, and phrasing it so it doesn't read like a raw timesheet dump. Clients who see vague line items ("misc dev work — 4h") push back on invoices more often than clients who see specific, grouped, professionally worded descriptions. Automating the description-writing step with an LLM gets you consistency across every client and every invoice without a human rewriting the same sentences every month.

What the pipeline actually looks like

A practical Claude-based invoice generation flow has four steps:

  1. Collect raw data — time entries, task tracker exports, git log, or a plain text brain dump of what was done.
  2. Send it to Claude with a structured prompt asking for grouped, client-facing line items.
  3. Get back structured JSON (description, hours, category) that your billing system can insert into totals.
  4. Render the final invoice with your existing tool (PDF library, Stripe Invoicing, QuickBooks, etc.) using Claude's output as the content layer.

Example prompt and request

Here's a minimal example using a Claude-compatible API. If you're using SubToAPI as your gateway, the request shape is identical to Anthropic's Messages API — you just point at a different base URL and use your sub_live_... key:

curl https://api.subtoapi.app/v1/messages \
  -H "Authorization: Bearer $SUBTOAPI_KEY" \
  -H "Content-Type: application/json" \
  -d '{
    "model": "claude-sonnet-4-5",
    "max_tokens": 600,
    "system": "You write concise, professional invoice line items for client-facing invoices. Group related tasks, use past tense, no filler words. Return only JSON with a top-level key \"line_items\": array of {description, hours, category}.",
    "messages": [
      {
        "role": "user",
        "content": "Raw time log: Mon - fixed login redirect bug (1.5h), updated auth tests (0.5h). Tue - built CSV export feature (3h). Wed - client call about export feature (0.5h), minor CSS cleanup on dashboard (1h)."
      }
    ]
  }'

A response like this is typical:

{
  "line_items": [
    { "description": "Resolved login redirect bug and updated authentication test coverage", "hours": 2.0, "category": "Bug fixing" },
    { "description": "Developed CSV export feature", "hours": 3.0, "category": "Feature development" },
    { "description": "Client consultation on export feature and dashboard styling refinements", "hours": 1.5, "category": "Communication & polish" }
  ]
}

That JSON drops straight into your invoicing template — you calculate rates and totals in your own code, not in the prompt.

Keeping output consistent across every client

The biggest risk with LLM-generated invoice text is inconsistency — one invoice reads formally, the next sounds casual. Fix this with a fixed system prompt stored once and reused for every request, not re-typed per invoice. Lock in:

Full request and response field details for this are in the Messages API docs. If you want Claude to actually call a function to pull time entries from your tracker (Toggl, Harvest, your own DB) before writing the invoice text, that's a tool use pattern — see tool use for the request format.

Streaming for long invoices

For monthly retainer clients with dozens of tasks, generation can take a few seconds. If you're rendering a live preview in a dashboard before the client-facing invoice is finalized, streaming the response token-by-token keeps the UI responsive instead of showing a blank loading state. Details are in the streaming docs.

Running this across many clients and team members

If you're a solo freelancer, one API key is enough. Once you're an agency with several people generating invoices for different clients, you run into the same problem every team hits with raw Anthropic access: one shared key, no per-project usage visibility, and no way to see which client's invoices are consuming the most tokens.

SubToAPI exists for exactly this gap — it wraps Claude access in application-scoped API keys (sub_live_...), so your billing service, your internal tools dashboard, and each team member's integration can have separate keys with their own usage metadata, while you still pay one predictable per-seat price instead of juggling raw provider billing. Plans run Solo at €9, Team at €19/seat, and Scale at €49/seat, with a free trial at signup — reasonable overhead for a tool that's writing every client-facing invoice your business sends. Getting a key running takes about five minutes; the quickstart guide walks through the first request, and you can grab a key at signup or compare plans on the pricing page.

A note on accuracy

Never let Claude generate the dollar amounts or tax calculations on an invoice — treat it strictly as a text generator for descriptions, grouped under categories you define, with hours and rates calculated in your own code. This keeps every number on the invoice auditable and correct, while still getting the time savings on the part that's genuinely tedious: writing it up clearly.

Questions

Can Claude calculate invoice totals and taxes directly? Don't rely on it for that. Use Claude to generate line-item descriptions and categorization; calculate hours, rates, and tax in your own billing code for accuracy and auditability.

Does this replace my invoicing software? No. It replaces the manual writing step. You still need a tool (Stripe Invoicing, QuickBooks, a PDF library) to render, send, and track payment on the final invoice.

How do I keep invoice wording consistent across clients? Use one fixed system prompt with explicit rules on tense, length, and category taxonomy, and request structured JSON output rather than free text, so every invoice follows the same format regardless of who triggers the generation.
